At Cromwood we are serious about protecting the data and privacy of individuals that engage with us. Your contact with us generates data records which can include the capture of personal information which is subject to data protection laws. This privacy statement applies to our tenants, our customers, those that visit our website, those that email or call us, those that write to us, those that communicate with us through social media messages, website form completion or visit us in person.

This privacy statement is designed to help you understand our policy on data protection. It will cover the General Data Protection Regulation (GDPR), which is shaped by the Data Protection Act 2018.

Information we collect:

The information we collect about you can vary depending on our needs to provide you with the services you require. This can include, for example, information relevant to us in order to provide you with appropriate housing; or information to comply with the terms of your tenancy agreements; or to provide you with repairs and maintenance services; or to provide you with other support services. The type of information can include your contact details, your financial details including any benefit details, details about your mental and physical health including whether you are registered disabled or not. We may also have to collect information to satisfy our statutory obligation as a provider of social housing.

We treat any personal information given to us in accordance with the provisions of the Data Protection Act 2018.

How we collect your information:

We collect your information when you complete an application form; or when you complete a tenancy sign-up; or when you send us communication via our website; or when you communicate with us through social media. We will also collect your information through any ongoing communication with you as well as any related communication with support agencies providing you with a service. This will include people associated with you such as family members, friends and or neighbours.

We have Closed Circuit Television (CCTV) surveillance cameras in operation, recording events at both our London and Manchester offices. This also constitutes us collecting your data, i.e. CCTV images, when you visit our office(s).

How we use your information:

We will ensure that the information we hold about you is only used for the purposes it was obtained for, and only kept for as long as is necessary to provide you with services, deal with your tenancy or housing need, or to comply with our other statutory or regulatory obligations.

We may need to share the data we collect about you with third parties, such as local authorities, benefits departments, our repairs and maintenance contractors, social services, other social landlords and government departments as required, and the emergency services.

Wherever possible we will aim to gain your consent before sharing your personal information with third parties. However sometimes circumstances mean that we are unable to do so. Information sharing with agencies such as the Police, HM Courts & Tribunal Services and Social Services is vital to safeguarding and promoting the welfare of children, young people and vulnerable adults. Cromwood may share information with these agencies without seeking consent, for example concerns about the welfare of children or vulnerable adults, certain types of criminal activity or health and safety hazards.

We will ensure that no personal data is disclosed without a valid lawful basis under the Data Protection Act 2018.

Your rights:

You have rights relating to the use of your personal data, including the right to see copies of the personal data we hold about you, or to make a complaint to the regulator, the Information Commissioner’s Office (iCO).
